Guidelines for the Athletic Association of the College

1. Preamble

The Athletic Association of the College is constituted with the objective of promoting physical fitness, sportsmanship, discipline, leadership, and holistic development among students. The Association functions in accordance with the norms and spirit of the Sambalpur University and the Council of Higher Secondary Education, Odisha, and seeks to encourage active participation of students in sports and games at institutional, inter-collegiate, university, and state levels.

2. Constitution of the Athletic Association

The Athletic Association shall be constituted every academic year under the overall supervision and guidance of the Principal of the College.

3. Body of the Athletic Association

The Athletic Association shall consist of the following members:

1. President

    The Principal of the College shall be the President of the Athletic Association.

2. Vice-President

    One faculty member nominated by the Principal, preferably having experience or interest in sports and physical education.

 3. Associate Vice- Presidents.

    Faculty members (usually the Lecturers and Demonstrators) appointed by the Principal to manage day-to-day activities.

4. Executive Members

    3–5 faculty members representing different departments, nominated by the Principal.

4. Student Representatives

To ensure active student participation in the functioning of the Athletic Association, Student Representatives shall be included in the Association.

Mode of Selection:

 Student Representatives shall be elected or selected, as the case may be, following the norms and guidelines approved by the College authority.

Composition:

Secretary , Athletic Association

Assistant Secretary, Athletic Association

 Class/Stream Representatives (as decided by the Association)

Eligibility Criteria for Student Representatives:

  • Must be a bonafide student of the College
  • Should have good academic standing and regular attendance
  • Must display discipline, leadership qualities, and interest in sports and games

Role of Student Representatives:

  • To motivate students to participate in athletic and sports activities
  • To assist the Athletic Association in organizing events and competitions
  • To act as a link between students and the Athletic Association

Eligibility Criteria for Student Representatives:

  • Good academic standing
  • Discipline and regular attendance
  • Active interest and participation in sports and games

5. Roles and Responsibilities

President

 Provides overall leadership and approval for all activities.

 Presides over meetings of the Athletic Association.

Vice-President

 Assists the President and acts on their behalf when required.

Secretary

 Plans, organizes, and executes all athletic activities.

 Maintains records of meetings, events, and achievements.

 Coordinates with University, CHSE Odisha, and other authorities.

Student Representatives

 Motivate students to participate in sports.

 Assist in organizing events and maintaining discipline during competitions.

6. Annual Activities of the Athletic Association

A. Annual Athletic Meet

The Association shall organize the Annual Athletic Meet of the College once every academic year.

Key Features:

  • Track and field events (races, jumps, throws)
  • Indoor and outdoor games
  • March-past and ceremonial activities
  • Participation of all students encouraged

 Prizes, medals, and certificates awarded to winners

B. Inter-Collegiate and University Participation

The Association shall:

  • Select and prepare college teams for participation in:
  • University-level tournaments
  • Competitions organized by the Council of Higher Secondary Education, Odisha
  • District, state, and Zonal sports meets
  • Arrange practice sessions and coaching prior to events
  • Facilitate travel, accommodation, and documentation for participants

C. Coaching and Training

  • Organize regular coaching camps and practice sessions
  • Invite qualified coaches when necessary
  • Encourage talent identification and development

D. Observance of Sports Days

 Celebration of National Sports Day

 Special sports awareness programmes and fitness drives

7. Meetings

  • The Athletic Association shall meet at least twice in an academic year:
  • At the beginning of the session (planning)
  • After the Annual Athletic Meet (review)
  • Emergency meetings may be convened if required.

8. Financial Provisions

  • Funds may be generated through:
  • Student fees (as approved)
  • Grants from Government/University
  • Donations and sponsorships (with approval)
  • All expenditures shall be made with proper approval and documentation.

9. Discipline and Code of Conduct

 All members and participants shall maintain discipline, fairness, and sportsmanship.

 Any misconduct shall be dealt with as per college rules.

10. Monitoring and Review

  • The functioning of the Athletic Association shall be periodically reviewed by the Principal
  • Necessary corrective measures shall be taken to ensure effective implementation of this Policy

11. Amendment

These guidelines may be amended or modified by the Principal in consultation with the Athletic Association, in accordance with CHSE, Odisha, University and Government regulations.
